Privacy Protection Policy
The Privacy Protection Policy of the A.M. Qattan Foundation (AMQF, “we”, “us” or “our”) is based on applicable EU and UK data protection law, as well as local regulations and laws in the countries it operates from, and it applies to the A.M. Qattan Foundation, all of its offices, projects and programmes.
It provides a legal framework for regulating the information relationship with the A.M. Qattan Foundation’s audiences, contractors, beneficiaries, and everyone who imparts personal information to the Foundation. It sets out the details of the A.M. Qattan Foundation’s Privacy Protection Policy in relation to data and information collected about you.
Information we collect
Depending on your relationship with the AMQF, we may collect the following information:
Personal Information:
• Name, title, gender and date of birth
• Postal address, email address and phone number.
Information about your interaction with AMQF
We will also collect and hold information related to your engagement with AMQF. This may include:
• Ticket purchases.
• Event registration and attendance.
• Online purchases.
• Newsletter subscriptions and communication preferences.
• Donations and gift aid information.
• Correspondence with us.
• Grants or employment applications.
• Where relevant, selected media coverage.

Some communications are essential to provide our services (for example, invoices, payment confirmations, or administrative notices) and can’t be opted out of.
Sensitive Personal Information
Under data protection legislation, certain personal information is considered ‘sensitive’ (e.g., information relating to race, religion, political affiliation, sex life, sexual orientation and health). This is also referred to as ‘special category data’. Information relating to criminal offences is also considered to be particularly sensitive.
AMQF only processes sensitive personal information when:
• You have provided explicit consent;
• Processing is required by law; or
• Processing is necessary to comply with a legal or regulatory obligation.
We may collect the following types of sensitive personal information:
• Information relating to ethnicity and/or health (e.g., disability), which we will collect in anonymised form as part of our audience surveys for audience research
• Information relating to criminal offences, which may be revealed as a result of compliance checks.
Where we obtain your personal information
We will typically collect personal information about you from you directly, for example, when you:
• Make a donation to us.
• Use our websites
• Subscribe to our mailing lists.
• Engage with us via social media platforms
• Attend any of our programmes, workshops or events.

• from publicly available and privately subscribed sources as part of our fundraising and due diligence processes

What we do with your information
Depending on your relationship with the A.M. Qattan Foundation and the preferences you have specified, the data that we hold may be used by us for the following purposes:
• Deliver our programmes, services, and events
• Process registrations, purchases, and donations
• Maintain legal, regulatory, and contractual obligations
• Send you newsletters and promotional or marketing information.
• Inform you of products, services, or events related to the Foundation, such as art exhibitions, events, or retail offers
• Inform you of our fundraising operations, including occasional targeted requests to consider giving financial support to the A.M. Qattan Foundation, or to ask you to consider supporting us in other ways
• Data screening and cleansing, to check if we have accurate contact details for you- see “How we update, screen and analyse your information” for further information
• To send you surveys and for market research purposes.
• We may use tools to monitor the effectiveness of our communications with you. This includes email tracking, which records when an e-newsletter from us is opened and how many links are clicked within the message. The data from this tracking is generally used in an aggregated and anonymised form.
We do not carry out any automated decision-making using personal information which produces legal effects or otherwise significantly affects individuals.
Our lawful basis
We will only use personal information when the law allows us to (i.e., where we have a “lawful basis”). Most commonly, we will use your personal information in the following circumstances:
• Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests. For example, we have a legitimate interest in providing our services to you
• Where it is necessary for the performance of a contract with you
• Where it is necessary to comply with a legal obligation on us (for example, reporting to HM Revenue and Customs, Companies House or the Charity Commission).
Where we process any sensitive personal information, we do so on the basis of your consent, or – in the context of any sanctions or similar checks – because the processing is necessary for us to comply with a legal obligation.
How we update, screen and analyse your information
To keep our records accurate and meet legal obligations, we may verify or update information using publicly available sources, including:
• Professional social media profiles
• Newspaper articles, publications and company websites
• Any other publicly available sources.
As noted above, we might also need to carry out checks where needed to ensure that we comply with our legal obligations.
Where an external party undertakes a screening of information, this will be under contractual agreements that require appropriate protection of your personal information.
Who we might share your information with
We may disclose your personal information to data processors carrying out work on our behalf. Any such companies are acting as approved data processors for us, and we retain full responsibility for your personal information. Data processors will act only on our instructions.
We may share your personal information with trusted third parties who provide services on our behalf, including:

• Website and communications providers
• Email distribution platforms
• Professional advisors (lawyers, auditors, and accountants).
We may also share your personal information with the following third parties, in some cases:
• As part of a sale, merger, or acquisition, or other transfer of all or part of our assets, including as part of a bankruptcy proceeding;
• Pursuant to a subpoena, court order, or other legal process or as otherwise required or requested by law, regulation, or government authority programmes, or to protect our rights or the rights or safety of third parties;
• With your consent or as otherwise disclosed at the time of data collection or sharing.
Retaining your personal information
We will not keep personal information for longer than necessary, and the appropriate retention period will vary according to the intended purpose for which we collected the personal information.
The criteria we use to determine the retention period of personal information are (i) the respective statutory retention period; (ii) our contractual and/or business relationships with you; (iii) (potential) disputes; and (iv) any guidelines issued by relevant regulators. After expiration of that period, the relevant information is routinely deleted, as long as it is no longer necessary for the fulfilment of a contract, the initiation of a contract, or to protect or defend our position or that of a third party. How we keep your information secure
We have implemented security procedures, rules and technical measures to protect the personal information that we have under our control from:
• Unauthorised access
• Improper use or disclosure
• Unauthorised modification.
All our employees and data processors, who have access to, and are associated with the processing of personal information, are legally obliged to respect the confidentiality of our visitors’ and supporters’ personal information.
While we seek to use appropriate organisational, technical and administrative measures to protect personal information within our organisation, unfortunately no data transmission or storage system can be guaranteed to be 100% secure. How can I access the information about me and correct the information?
You can ask us if we are keeping any personal information about you, and you can also request to receive a copy of that personal information – this is called a Subject Access Request.
To make a Subject Access Request, you will need to provide adequate proof of identity, such as a copy of your passport or driving licence, before your request can be processed. Please try to be as clear as possible about the information you are seeking.
You also have the following rights under data protection legislation:
• To request that we rectify or erase your personal information
• To request that we restrict the processing of your personal information
• To object to our processing of your personal information in certain circumstances
• Under certain circumstances, to ask us to transfer personal information about you that you have provided to us to you or to a third party; and
• Where we previously obtained your consent to withdraw consent to processing your personal information.
You also have the right to make a complaint to us if you have any concerns about our handling of your personal information.
